The position will be responsible for providing both administrative and coordinator-level transactional support to the Enterprise Compensation team. From an administrative perspective, this position will directly support the VP, Enterprise Compensation (calendar maintenance, meetings, expense reports, travel, arrangements, etc), as well as providing targeted administrative support to two Directors and the team as a whole (meetings, supplies, invoice processing, etc.). In addition to administrative support, the position will also be responsible for various function-specific, transactional activities such as: Compensation Administration (e.g. Wall-E payroll uploads, CAWD immigration documentation, etc.), Weekly SAP Data Audits, Compensation System Administration (e.g. weekly data refresh), Compensation Program Budget Tracking (e.g. Promo/Adj & Spot Awards budgets), Executing Periodic Reports (e.g. MIBP headcount tracking), and various other similar tasks.

Basic Qualifications
Minimum 5 years administrative experience supporting executives in a corporate environment
Proficient in Microsoft Word, Excel, Outlook, and PowerPoint, Internet Explorer and internet-based research
Proficient in SAP Casual Buyer and T&E functions
Excellent written, verbal, and interpersonal communication skills to assure successful interaction with all levels of employees and external contacts
Strong interpersonal skills and the ability to work well in a team environment
Ability to handle confidential and sensitive information with discretion and good judgment
Strong professional demeanor and the ability to work seamlessly with the offices of senior management at Disney and with senior executives externally
Ability to work easily in a global work environment, interfacing with worldwide offices

Responsibilities
Duties include, but are not limited to, screening and routing phone calls, arranging conference calls, managing calendars, processing invoices, scheduling meetings requiring significant coordination and follow up, and ensuring timely and effective communications
Coordinate conference calls, teleconferences and web-based meetings
Provide additional office support such as distributing mail, filing, faxing, photocopying, scanning and tracking documents, data entry, word processing, ordering supplies, and processing purchase orders
Provide general office management support, order supplies and serve as backup for processing invoices in SAP
Oversee facility issues and work with building management as needed
Participate in Product Integrity administrative team coordination meetings, providing backup to other assistants and contributing to common administrative duties
On-board new employees, including physical and IT access, acquisition of appropriate equipment, providing general team and systems orientation, establishment of remote access and all other necessary functionality requirements
Planning, coordination of travel and events
Manage the planning, coordination, and execution of executive business travel (domestic and international), including trip logistics and itinerary, meeting coordination, remote support of the VP when out of the office and expense report processing in a timely manner.
Coordinate and support the planning of weekly staff meetings and coordinate Product Integrity on-site and off-site events and meetings
Assist with special projects and events as needed
Presentations - Assist in the preparation of presentation materials
Assistance in preparing PowerPoint presentations and related documents
Communication & Correspondence - Interface with various internal Disney departments and external organizations globally
Assist with VP correspondence
Preparing responses to correspondence containing routine inquiries
Post, update and maintain documents to SharePoint and Backlot sites
Work closely with global administrative staff to promote a cohesive team environment
Coordinate bi-monthly informational meetings with PI administrative team

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
